Minutes of a meeting held on Wednesday 27th January 2010 in the Village Hall at 19.45 hours.
Present: Helen Watson, Robert Talbot, Miles Hayward, Tony Bird, Fionna Brooks, Mary Owlett, Jenny Thornton.
1. CONFIRMATION OF MINUTES OF MEETING HELD ON 25th November 2009
- The minutes were duly signed by the Chairman.
2. FINANCE
- Current balances: £39000 in Deposit Accounts, £1878 in Current Account.
- It was agreed that £14000 currently on deposit with Birmingham & Midshires to be reinvested for a further 18 months @ 1.36%. Action MH to progress.
- MH reported on the “Income” proposals from the Finance Meeting held on 12th January:
- Annual income is circa £7300 & expenditure circa £6200, providing an operating surplus of circa £1100. Reduction of year on year interest rates will reduce this surplus further in 2010.
- Hall hire rates have been reviewed against the market & are broadly in line therefore no general increase to rates is proposed for 2010.
- However some anomalies were highlighted & it is proposed to increase rates to St Margaret’s PCC, Cookery Classes, Music Box & The Band effective 1st September 2010.
- The full committee supported these proposals. Action MH to communicate new rates to those effected.
- MH reported on the “Expenditure” proposals from the Finance Meeting held on 12th January:
- It was proposed that the following major works to be carried out in 2010:
- Repainting exterior paintwork, windows etc.
- Internal decoration to include walls & woodwork
- New curtains (we may find volunteer to make these)
- Resealing floor
- Solve “Swing Door” closure issue.
- Action HW to source quotes for 24th February meeting
- Full energy consultation to be carried out to cover hall insulation, windows & boiler, this maybe free. Action RT to source proposals for 24th February meeting.
- FB requested that if the boiler is replaced it should be resited to make it more accessible.
3. PLANNING
- The Seal Parish Council planning meeting held on 4th January regarding Oakhurst Manor was discussed. We are currently awaiting the date of Tonbridge & Malling planning meeting.
- No further applications received
4. VILLAGE HALL/GREEN
- Maintenance works completed: Tap replaced in disabled toilet, new light bulbs in kitchen, new sink plugs, broken door sign removed, dishwasher mended/serviced.
Maintenance works planned: Replace tap in kitchen. Hang W.I. picture, Fix new drop bolt to gate for disabled access. Action RT
5. U.V.A. SOCIAL OCCASIONS
- Quiz Night 20th Feb: Mike Clyne has everything sorted & requested support from the committee for the following:
- Chase up entries. Action All
- Help put out tables chairs at 5.00pm. Action HW, TB, RT.
- Serve Teas/Coffees. Action FB, MO,JT.
- Village Event Sept 2010: MO reported that this event will now be progressed for 2011, not 2010.
- Frank Scott has offered to progress an event in conjunction with UVA in the summer 2010. Action RT to bring proposal to February meeting.
- MO flagged that The Queen’s Diamond Jubilee will be on 5th June 2012. The committee agreed they would like to progress a major “Village” event to celebrate this occasion. To fund this we will need to run fund raising events in 2011. Action we need to start planning the event at our June 2010 meeting
- FB advised that the Annual Golf Day needs a new organiser if it is to remain an event. Action MH to follow up with RS, RT to put note in March newssheet.
6. ASSOCIATION & CLUB REPORTS
Hort. Soc. – Meetings have now taken place to agree schedules for both Spring & Summer shows. This years Plant Sale will be in aid of Spring House.
P.C.C. – The Christmas services were well attended particularly the Crib Service. JT gave advance notice that the Garden Party this year will be held at “Bassetts” on 22nd May.
T.U.G’s – This years AGM was cancelled due to snow, however an exciting & interesting schedule of meetings/talks has been agreed for 2010.
Cricket Club – No play
Wild Life Update - New birds seen in gardens during the snow including redwings & bramblings. FB reported a mink & JT a weasel.
7. A.O.B.
- MO suggested that Underriver Youth Group may want to join UVA. Action RT to write.
- The UVA Constitution needs to be updated & it was agreed we should ask John Clemence if he would be happy to provide a proposal for discussion by the committee. Action RT to write.
- The new clock kindly given by Phillip & Libby Payne is now in situ. Action RT to write
